1. Acceptance of Terms
By accessing or using DentalFlow (“Service”), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service. These terms apply to all users, including dental practices, clinics, and individual practitioners.
2. Description of Service
DentalFlow provides cloud-based dental practice management software including appointment scheduling, patient record management, billing, and patient portal functionality. The Service is provided “as is” and may be updated or modified at any time.
3. Account Registration
You must provide accurate, complete information when creating an account. You are responsible for maintaining the confidentiality of your credentials and for all activity that occurs under your account. Notify us immediately at hello@dentalflow.com if you suspect unauthorized access.
4. Patient Data and Privacy
You retain ownership of all patient data you upload or enter into DentalFlow. By using the Service, you represent that you have obtained all necessary consents from patients to process their data. You are responsible for compliance with applicable healthcare privacy laws (including GDPR, HIPAA where applicable, and local regulations) in your jurisdiction.
DentalFlow processes patient data as a data processor on your behalf. We do not sell or share patient data with third parties except as required to operate the Service.
5. Acceptable Use
You agree not to: (a) use the Service for any unlawful purpose; (b) attempt to gain unauthorized access to any part of the Service; (c) transmit malware or harmful code; (d) scrape, copy, or reverse-engineer the Service; or (e) use the Service in a way that could damage, disable, or impair its operation.
6. Subscription and Billing
DentalFlow offers a free tier and paid subscription plans. Paid plans are billed in advance on a monthly or annual basis. You may cancel at any time; cancellation takes effect at the end of the current billing period. No refunds are provided for partial periods.
7. Intellectual Property
DentalFlow and its associated trademarks, software, and content are owned by DentalFlow and protected by applicable intellectual property laws. Nothing in these Terms grants you any right to use DentalFlow’s trademarks or intellectual property beyond what is necessary to use the Service.
8. Limitation of Liability
To the maximum extent permitted by law, DentalFlow shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of data, profits, or goodwill, arising out of or in connection with your use of the Service.
9. Service Availability
We aim for 99.9% uptime but do not guarantee uninterrupted availability. We reserve the right to suspend the Service for maintenance. We will provide reasonable advance notice of planned downtime where possible.
10. Termination
We may suspend or terminate your account if you violate these Terms. You may delete your account at any time. Upon termination, your data will be retained for 30 days before being permanently deleted, unless required by law to retain it longer.
11. Changes to Terms
We may update these Terms from time to time. We will notify you by email or in-app notification at least 14 days before material changes take effect. Continued use of the Service after that date constitutes acceptance of the updated Terms.
